Policies, Billing, and FAQ

Please carefully review our updated COVID-19 & health policies, billing, and other general policy info below:

Health Policy

MMR II:

All participants must acknowledge in writing that they are up to date with the Measles Vaccine MMR II. 

COVID-19:

We require all clients and anyone accompanying them who enter The Ely Center office to be fully vaccinated against COVID-19 with at least one booster dose and show proof of vaccination. 

Mask-Wearing Policy:  Masks are not required. However, The Ely Center staff has the right to enforce the wearing of masks if a member of the group is immunocompromised or if a participant presents with active symptoms of illness (cough, runny nose, general unwell appearance). 

Please note the following health precautions:

  • If an Ely Center participant has active symptoms, such as cough, congestion, runny nose, fever or headache, please keep them home.
  • If your child has been sick with a stomach bug, pink eye, lice or any other symptoms, they must be free of all symptoms for at least 24 hours prior to returning to The Ely Center.
  • If your participant has or has had a fever within 24 hours, please keep them home.
Billing & Attendance
Payments: We currently utilize a secure & paperless billing system and payment will be made via credit card. All overdue balances are subject to a $25 late fee.

Group Payments: The fee is $100.00 per group session. We work on a rolling admission schedule. Payment is expected immediately after receiving the invoice, and per our automated billing system, your card on file will be charged automatically on the same day as the services are rendered.

 

Individual Speech & Language Therapy and Occupational Therapy Payments: The fee is $200-$225 per individual session. Payment is expected immediately after receiving the invoice, and per our automated billing system, your card on file will be charged on the same day as the services are rendered. All overdue balances are subject to a $25 late fee.

 

  • Drive time (15 minutes or more from our location) is billed at half the clinician’s hourly rate;  Weekend surcharge for drive time.
  • Phone and email correspondence over 10 minutes billed at the clinician’s hourly rate.
  • Consultation/Report Writing/Documentation Review, Meeting attendance, including presentation of findings, billed at the clinician’s hourly rate.
  • $180-$225/hour prorated for consultation services including 1:1 Office Consultation/Treatment (Speech/Language; Occupational Therapy, Counseling, Tutoring, Job Coaching)
Mental Health Services Payments: Payment is expected immediately after receiving the invoice, and per our automated billing system, your card on file will be charged on the same day as the services are rendered. Our mental health fee ranges from $200-$225 per 50-minute hour. The Ely Center, LLC will hold your credit card information on file. Drive time (15 minutes or more) from our Needham office is billed at half the clinician’s hourly rate.

Attendance: If your child cannot attend group/individual sessions, please email your dedicated clinician (and cc office@elycenter.com) & leave a voicemail on the clinician’s cell phone as early as possible. As a backup, you may also leave a cancellation message on the office phone line at 781-400-2605. We expect that each client and their family make a full commitment to their group assignment and we respectfully ask that you schedule travel plans and appointments at times other than when the session meets. However, we also understand that there are times when a client cannot be at a session due to extenuating or emergency situation which will be taken into consideration. 

Individual & Group Therapy Cancellation Notice: Kindly notify your clinician and the office via email if you cannot attend a session at least 24 hours before your scheduled therapy session to avoid being charged for the session. If cancellation is within 24 hours you will be billed for half the session. If cancellation is within 2 hours or there is a no-show, you will be billed for the full session.

*Group Commitment Policy – Groups are established with great care and each group session is planned to address the needs of each individual as well as the group at large. If a group member is absent, the group dynamic and plan is adversely affected. Thus, it is our expectation that each participant commits to the full term (Sept-Dec & Jan-June). Cancellations of any group session for reasons other than extenuating circumstances will not be refunded. Late cancellations (i.e. within 24 hours) are subject to a charge even if due to illness.

Mental Health Services Cancellation Notice: Our mental health providers must be notified with a phone call and an email at least 24 hours in advance to avoid being charged for the session. If cancellation is within 24 hours you will be billed for half the session. If cancellation is within 2 hours or a no-show, you will be billed for the full session.

No refunds will be given due to unexcused absences, and our intake fee is non-refundable.

Ely Center Closures & How to Find us:
Inclement Weather: In the event of poor driving conditions or anticipated snow or ice, The Ely Center will cancel afternoon and evening sessions. Please monitor your email as this is the most effective way for us to communicate cancellations. If you determine that travel from your location to The Ely Center is too dangerous due to weather, please contact your group leader on his/her cell phone at least 90 minutes before the group meeting to avoid a charge for that day’s session. In addition to calling the group leader please email the group leader and copy office@elycenter.com.
Parking: Our address is 140 Gould St., Suite 290, Needham, MA. You will notice the sign from the street says “144 Gould Street” and you will turn into that lot, and we are the first building on the left is our building: 140 Gould St. Please drive to the back of the building (you’ll see parking signs for 140 Gould). Our building will be on your left.
Insurance

Rates (effective 9.1.2023):

  • Group Sessions – $100 per 50-min hour group session.
  • Individual Sessions – $200-$225 per 50-min hour session (prorated).
Sept​ 1-Dec​ 31, 2023 will be our last official “semester” for superbilling. Starting Jan 1, 2024, we will send superbills once per quarter (i.e. 01/01/2023-03/31/2023 will be the first quarterly superbill period).

​If you require a superbill for insurance reimbursement, you must email billing@elycenter.com so our billing & finance support team can enable self-service access to IntakeQ where you can find your quarterly superbills.

The Ely Center, LLC will make reasonable efforts to provide you with documentation requested by your insurance provider to allow you to seek coverage. However, such efforts shall be limited and determined in the sole and absolute discretion of The Ely Center, LLC and shall merely be a courtesy to you and your payment to us is neither contingent upon your recovery of any insurance nor shall payment of our fees be delayed nor hindered in any way should you choose to seek such reimbursement.
The Ely Center, LLC will charge a rate of $100/hour for any and all insurance-related correspondence of greater than 10 minutes.
This may include but is not limited to the following:
■ Administrative gathering of information
■ Email & phone exchanges
■ Standardized insurance form completion
■ Note that formal progress reports/documents will be provided at a rate of
$200 per item
